Functions

Teams is a cloud-based collaboration tool included in Microsoft Office 365 that allows you to meet and collaborate with others online.

Online meetings

You do not need to have or be a member of a team (collaboration space) to create an online meeting.

Make sure you have a headset or headphones or earphones with a microphone for optimal audio quality. Good sound is vital to a good meeting.

Create a team for collaboration

You can choose who to invite to join your team. Teams can be private – i.e., limited to the members you invite to join – or public, in which case they are open to everyone.

Keep the dialogue going through channels

When you create a team, you create an open channel of communication in which anyone in the team can create discussion threads. It is also possible to create subchannels through which to communicate on different subjects. You can label the channels that affect you directly as favourites and read the others as and when necessary. Threads allow all members of the team to follow a discussion and to keep track of what discussions are ongoing.

Using a OneNote notebook in Teams

You can link new or existing OneNote notebooks to a team so that you can save joint notes; from meetings, for example.

The owner of the team is responsible

The owner of a team is also the administrator. Among other things, this means that you are responsible for deleting members and changing settings for what is and is not permitted in your team. Once a team has fulfilled its function, it is the owner’s responsibility to delete the team.

Naming your team

Teams with inappropriate names will be deleted. Give your team a unique name that describes its purpose. This will make it easier for users to understand the nature of the group/team.

Naming your team

Teams without an owner will be deleted. There is also a risk that a team that has been inactive for over six (6) months will be deleted. When a team is deleted, all information related to the team is also deleted. This includes any files, chat history, planners, etc., which will be permanently deleted. So, make sure you keep your team active for as long as it is required. If the team is no longer required, delete it!
