Processing of personal data – students' personal data
Kristianstad University is the controller of all processing of your personal data. In order for you to be able to study at Kristianstad University, we are required to register your personal data in our study documentation system, Ladok, in accordance with the Swedish Ordinance concerning the Reporting of Higher Education Studies etc. at Higher Education Institutions (SFS 1993:1153).
Initially, we obtain personal data concerning you from antagning.se, a website administered by the Swedish Council for Higher Education. When you are admitted or placed on a reserve list for a study programme or course at the university, this data is transferred to Ladok, where your future study results will also be registered.
In certain cases, we will receive personal data from other higher education institutions where you have previously studied. Otherwise, we will process personal data provided by you or that we generate ourselves as a result of your studies with us. Your personal data will be processed by employees of the university in our system in order to document and administer your studies at Kristianstad University.
Purposes for which personal data is processed
We primarily process your personal data in order to
- decide on student admissions
- conduct examinations
- register grades and other information regarding completed studies
- communicate with teachers and other students within a course or study programme,
- provide access to IT resources and premises
- create a basis for monitoring and evaluating our educational activities
- provide study and career guidance
- compile official statistics and reports
- facilitate research.
There must be a legal basis for our processing of your personal data. Kristianstad University's processing of your personal data is supported by its necessity for i) the performance of a task carried out in the public interest (providing education), ii) the exercise of public authority, and iii) our obligations to comply with applicable legislation and regulation. In exceptional circumstances, we require your consent for processing, for example for processing images. If the university's processing of your personal data is based on consent, you always retain the right to withdraw your consent.
The university may disclose your personal data to another organisation, for example to other higher education institutions when transferring credits, to CSN when the data is necessary in order to authorise or pay student grants, or to Statistics Sweden for the compilation of official statistics.
If your personal data is included in an official document, it will be disclosed as part of any request for access to the document in question in accordance with the principle of public access to information, unless it is classified as secret. Kristianstad University will also process your personal data in the necessary manner to comply with legislation and regulation relating to official documents and public authority archives.
Your personal data will be stored for as long as Kristianstad University requires the data to administer your studies, and for as long as required pursuant to legislation relating to official documents and public authority archives.
Under certain circumstances, you have the right to have your data erased, rectified, transferred and restricted. You also retain the right to object to processing or to receive confirmation of which personal data concerning you is being processed.
