Guidelines for registration and grade reports
These guidelines for registration and grade reports were decided on 11 November 2019 and revised on 16 March 2020 and 27 March 2023. Serial number 2019-112-641.
1. Registration for independent courses
1.1 Registration
Before the course starts, students perform self-registration on Ladok via the Student Portal. Self-registration opens a week before the course starts and usually closes the day before the course introduction.
For self-registration to function, the student must be admitted to and qualified for the course. A student with conditional qualification for the education must fully comply with their qualification no later than the start of the course, in order to claim the offer of a place.
The programme area director can grant an exemption (dispensation) if the student took a qualifying course in the previous or present semester.
An admitted student who fails to register within the stated time loses their place. If there are places remaining, any reserves are called in.
A three-week control is automatically input as an instruction in Canvas. A notice is displayed in the student portal when the three-week control is open and the student can click a direct link from there to the instruction in Canvas. Students who answer Yes remain on the course. Those students who answer NO are removed from the course on the Monday after the end of the third week of the course. The discontinuation date is backdated so as to be registered as an early discontinuation. If the student makes no active choice, an early discontinuation is noted in Ladok. Only students who remain on the course after three weeks generate a full-year student allowance (HST); see below under “Discontinuation”.
If a student considers that they have been incorrectly removed from a course in the three-week control, the early discontinuation is removed from Ladok and the student regains access to the course area in the Canvas learning platform. Note that this is not possible if the student has actively answered No in the three-week control.
1.2 Discontinuation
A student who discontinues their studies within three weeks and who has not had any course component approved during this time is deregistered with “Early discontinuation of course”. A student who discontinues their studies within three weeks and who has had any course component approved is deregistered with “Discontinuation of course”. A student who discontinues their studies after three weeks is deregistered with “Discontinuation of course”. The point of deregistration is partly our obligation, but it also makes it possible for students who have discontinued the course within three weeks (early discontinuation) to apply for the course again without being asked to contact the faculty for the opportunity to complete the course.
2. Registration for courses within a programme
2.1 Registration
Before start of programme - semester 1 - students perform self-registration on course(s) in the programme on Ladok via the Student Portal. Self-registration opens a week before the course starts and usually closes the day before the semester starts. Once the student has registered, the programme is ongoing in Ladok.
A student with conditional qualification for the education must fully comply with their qualification no later than the start of the semester, in order to claim the offer of a place. An admitted student who fails to register within the stated time loses their place. If there are places remaining, any reserves are called in. Registration before semester 2 and thereafter is done in the same way as before semester 1. This means that examinations/work must be handed in at the examination sessions that were offered before the start of the course. The assessing teacher then has 15 working days to correct the examination/work in question so that qualifications can be substantiated as needed. Students who are awaiting notification regarding examinations/work that was handed in before the start of the course are able to participate in unexamined teaching. Exemptions from this rule may apply for courses that require specific planning, such as courses where VFU (workplace training) is stated in the course syllabus or examination work.
The dean of the faculty in question can grant an exemption (dispensation) if a student does not comply with the formal qualification requirements. Application for exemption
2.2 Discontinuation of programme
Students advise of discontinuation on the specified form, which must be diarised. Students who discontinue a programme of education are deregistered with “Discontinuation of programme”. Notification of withdrawal of studies
2.3 Discontinuation of courses in a programme

3. Continuation registration on independent courses and courses within a programme
For courses that extend beyond the semester limits, a continuation registration must be made for a new semester. The same rules for self-registration apply to both first registration and continuation registration.
4. Reregistration
Students who need to retake some components in order to pass the course contact study administration at the faculty in question for notice of registration. Reregistrations are counted in addition to the budgeted number of places. Applicable document – course syllabus period of validity serial no. 065/10.
4.1 Reregistration on independent course

Normally the application for appraisal regarding completion of a previously commenced course needs to be received by 15 April or 15 October respectively before the next semester.
The programme area director decides whether it is possible to complete the course.
If the student is allowed to complete a previously commenced course, the student is reregistered and once gain has access to their student account and other things relating to the course.
Information about registration for retaking an on-campus written examination may be found on the university’s website under examination.
4.2 Reregistration on a programme course
Students who need to retake some components in order to pass the course contact study administration at the faculty in question for notice of registration. Normally the application for appraisal regarding completion of a previously commenced course needs to be received by 15 April or 15 October respectively before the next semester.
The programme area director decides whether it is possible to complete the course.
If the student is to do anything other than on-campus written examinations in the course, an individual study plan must be set up via the study and career counsellor at the faculty in question. The same applies if the student is to follow the teaching.
If the student is allowed to complete a previously commenced course, the student is reregistered and once again has access to their student account and other things relating to the course.

5. Leave from studies
Granted leave from studies is registered in Ladok. More information may be found in the university’s Rules and directions for leave from studies on the university’s website under rights and obligations.
6. Grade reporting
It is teachers who report grades in Ladok. This must state the grade and examination date, as well as the title of the examination work if there is one. For on-campus written examinations, the examination date is the date on which the examination was taken; for written assignments, it is the last date for submission.
An examiner is appointed for the course instance who attests the grade in Ladok.
When an assessment is made that an examination has not been passed, this is marked U in Ladok.
With a decision on transfer of credits that is entered in Ladok, the grade for the examination/course is TG (credited). For a student who is credited for an examination, this can have consequences for which final grade the student can attain on the course.
The grade must be reported as soon as an examination or a whole course is completed.
Where a course contains more than one examination, a final grade is reported in Ladok by an appointed person in the course when all the examinations included have been passed. The examiner attests the final grade in accordance with the defined course syllabus.
The assessing teacher and examiner may be the same person.
On request, the course certificate, transcripts and certificates or degree certificate are issued to the student.
